Privacy policy

East Surrey Slings is a partnership based in Redhill, England. We run this website (eastsurreyslings.co.uk) and its subdomains. We also use third party services to operate our bookings and hire services, keep in touch with people and understand how we can do those things better.

Most of those services collect some data about people who are interested in East Surrey Slings or access our in-person services. Here you can find out what those third-party services are, how we use them and how we store the information they collect.

Our Principles

At East Surrey Slings, we take our approach to data seriously, so we’ve set some guiding principles that all of our work follows:

We only record data we really need. This reduces the risk of exposing sensitive data, and means people have more control over what they share with us.

We store data securely – No one should be able to access our data without permission, either by accident or design.

We keep personally identifiable information confidential* – the data held by us and our third-party services will ONLY be accessed by Charlotte and Sally and, on occasion, the immediate peer support team who may have helped you.

We’re clear about data use – We’re up front about what we’ll do with information: how we store it, who’ll have access to it and when we’ll delete it. If we won’t use it, we don’t keep it.

We make decisions as a partnership – Sally and Charlotte always discuss decisions about data use together.

We hold ourselves to account – We as a partnership must be able to explain and justify every decision made about the way a client’s data has been gathered, used and managed.

* The only exception there would ever be to this is our safeguarding obligation: if we think a child is in an unsafe situation, we have a legal duty to share this with relevant services. This obligation overrides data protection requirements. We will always try to talk to a client if this is the case.

Services powering East Surrey Slings

We manage our library catalogue and hires and fittings through Lend Engine. We store data needed only about clients who have used our services or who wish to register on the system before becoming clients. We do not request more data from clients than we believe is necessary for our legitimate business interests. See Lend Engine’s privacy policy here.

We use Smoothbook as an online appointment management system for consultations. Again, we do not request more data from clients than we believe is necessary for us to provide a successful service. Smoothbook is also governed by the EU General Data Protection Regulations and more on their compliance with the legislation can be found here.

We use a secure Dropbox folder to store our business documents. Minimal information about client home consultations (name, date and content covered) is stored on an Excel spreadsheet. All hires processed before we implemented the Lend-engine system were also logged on a spreadsheet. Dropbox’s privacy policy can be viewed here.

We are required by our insurers to keep long-term records of our contacts with clients, so records on Lend Engine, Smoothbook and our consultations log will be kept until we are confident that there is no possibility of a claim in relation to our work.

We track visitors to our website using WordPress analytics, which logs a visitor’s activity on our website: we then use this to work out how we can improve the site. We store the data collected indefinitely, so we can see how use of our website changes over time. We host videos using YouTube, because its infrastructure is better suited to delivering video content than our own. Using YouTube also allows us to edit to content of a video without breaking copies embedded on other websites. You can read YouTube’s privacy policy here.

Newsletters

We maintain our email mailing lists using a service called Mailchimp. Besides storing subscribers’ email addresses, Mailchimp tracks whether an email has been opened, clicked on, bounced from a recipient or been marked as spam. We’ll keep this information indefinitely, unless a recipient unsubscribes from a mailing list.
